General Hire Terms & Conditions


THE FOLLOWING TERMS APPLY:
Static Caravan & Lodge Hire – Terms & Conditions
Please don’t book for parties of young people, As they will be refused access to the accommodation, which can be upsetting for everyone concerned.

DEPOSITS & PAYMENT
1. A provisional booking will be accepted by Crofthead Holiday Park, subject to receiving a £150 deposit for lodge bookings and £100 deposit for caravan bookings within 5 working days. Upon receiving deposit, you’ll receive confirmation for the dates that you have now booked. Please note that ALL bookings are provisional until the caravan owners receive the deposit.

DEPOSITS ARE NON-REFUNDABLE IN THE EVENT OF CANCELLATION
2. If the deposit is not received within 5 working days it is assumed by Crofthead Holiday Park that the provisional booking is no longer required.

3. THE BALANCE OF THE HIRE CHARGE IS DUE FOUR WEEKS PRIOR TO ARRIVAL, if the balance is NOT received within this time frame, then Crofthead Holiday Park reserve the right to hire the lodge/caravan to someone else. Bookings taken with less than SIX weeks remaining can only be accepted if payment is made in full and received within 5 working days.

4. The hirer shall also pay a £50 refundable security bond. This bond is fully refundable at the end of the hire period and returned within seven days of departure date. Crofthead Holiday Park reserve the right to withhold some or the entire bond and /or bill the hirer for the additional cost of: a) replacing and/or repairing all damage b) all breakages c) charge for cleaning the caravan or removing stains or replacing as new. ALL BREAKAGES, DAMAGE AND STAINS WITHIN THE LODGE/CARAVAN MUST BE PAID FOR!! THE HIRER MUST INFORM THE CARAVAN OWNERS WITHIN 12HRS OF ARRIVAL OF ALL DEFECTS, INVENTORY SHORTAGES AND/ OR BREAKAGES. FAILURE TO DO SO WILL RESULT IN YOU, THE HIRER BEING RESPONSIBLE.

CANCELLATIONS
5. In the event of a cancellation, The hirer must confirm this via email. (once you have paid your deposit you have entered a contract and are liable for the full holiday cost, even in the event of cancellation. *See our holiday cancellation policy6. No refund will be made to the hirer whose hiring has commenced and who vacates the caravan for any reason including an emergency at home.

7. Once the balance has been paid refunds will only be considered in certain circumstances at the owner’s discretion and subject to the time remaining to the holiday and a replacement booking being obtained.

GENERAL BOOKING CONDITIONS
8. Bookings will only be accepted from hirers who are twenty-one (21) years of age and above. No large same sex groups (Couples and Family’s only).

9. Only the persons on the booking form may stay at the accommodation. Over occupancy will not be tolerated.

10. ALL changes to a booking are allowed by prior agreement with the caravan owners and confirmed in writing to the owners.

11. The hirer is responsible for the conduct of all persons listed on the booking form.

12. The hirer agrees that all persons named on the booking form shall be with you (the hirer) during your hire period. Holiday park owners and/or their staff shall have a copy of your booking form. The booking form is important because it is for you and your parties safety and security purposes only.

13. Each person listed on the booking form and your guest(s)/visitor(s) must be prepared to identify themselves to the park owners or their staff upon request and comply with their reasonable requirements.

14. The hirer shall notify the caravan owners in writing with any changes to person(s) listed on the booking form at the earliest possible opportunity and in any event, prior to arrival at the holiday park.

15. The hirer must give access to the holiday accommodation as / when required to the caravan owners, holiday park owners and their staff / agents.

16. The caravan owners reserve the right to refuse any booking without any obligation to give a and / or reserve the right to terminate any booking for whatever reason at their absolute discretion.

UPON COMMENCEMENT OF HIRE
17. The holiday accommodation maybe occupied from 4pm onwards on the first day of hiring.

18. In the case of a maintenance problem, the hirer shall contact the caravan reception. D.I.Y repairs must NOT be attempted. If the hirer does any D.I.Y repairs, then rule 4 will apply.

19. No pets are allowed in non pet friendly accommodations.

20. Smoking is NOT permitted in the accommodation.

21.The caravan is to be left in a clean and tidy condition ready for the next tenants, due to inspection by staff. If not, then rule 4. shall apply.

22. Holiday park owners and their staff do not accept liability for any loss or damage to the hirer’s property and/ or accidents, injuries, illness, diseases, arising from the hire of the lodge/caravan or use of the holiday park, including acts of god or extreme weather conditions.

23. The holiday caravan MUST be vacated by 10am on the last day of hiring. Ready for cleaner to check over.

24. No Prams/Buggies to be left open, and used in the caravans as this as been known to damage doors and fittings.

IF YOU ARE ASKED TO VACATE THE LODGE/CARAVAN / HOLIDAY PARK BY THE HOLIDAY PARK OWNERS OR THEIR STAFF FOR ANY REASON WHAT SO EVER, THE CARAVAN OWNERS SHALL NOT REFUND ANY MONEY PAID.

PLEASE NOTE
Once we have received your deposit, you the hirer has agreed to the full terms and conditions, as above, as applicable at the time of your booking and holiday. These terms and conditions do not affect your statutory rights.

Restrictions:
– We do not permit gazebos, trailers or boats on any of our parks.
– Commercial vehicles cannot be parked alongside accommodation/pitches. We will advise where these can be parked. This must be pre-arranged
– Vehicles larger than a 7-seater family car will be unable to park alongside the booked accommodation. We will advise where these can be parked. This must be pre-arranged
– Awnings: For licensing and safety purposes we do not permit anyone to stay overnight in an awning. The awnings permitted on our parks shall not be of types which incorporate sleeping accommodation. You are responsible for declaring the size and type of awning you wish to erect at the time of booking. If anyone is found to be using an awning for accommodation purposes, we reserve the right to ask them to leave the park and no refund will be given.
– There should be no noise between 10pm and 8am, music should always be played quietly.
– We request that children vacate the play area by 10pm each night.
– We do not allow open fires on the park; this includes fire pits.
– Please ensure all barbeques are raised off the grass and decks thank you.

Hot Tub Guidelines
(not all accommodations have hot tubs – Please check you booked accommodation type to check if these guidelines are applicable to you, if you are unsure, please contact our Reservations Team for confirmation)

We hope you enjoy relaxing in your hot tub and please follow our guidelines below for your safety (these are also available alongside your hot tub). Our team will test and treat your hot tub daily and we request that you do not use your hot tub during this time.

Hot Tubs Dos & Don’ts Advice
Bubbling Away – Our hot tubs are pre-set at the advised temperature of up to 40 degrees centigrade. This temperature cannot be altered, and any temperature change must be requested by the guest to our team.

Scrub down – please remember to remove any make-up/cosmetics/fake tan and take a shower before taking a dip.
Stay safe – do tie up long hair and do not submerge your head into the hot tub water for safety reasons.

Excited kids – do make sure young children are never left unattended near to, or in, the hot tub and children under the age of 4 years should never be taken into the hot tub.

If in doubt, sit out — we recommend that you seek medical advice before using the hot tub if you suffer from heart/circulatory problems, are pregnant, have any infectious skin conditions, are taking medication or are generally feeling unwell.

Smoke free zone – please do not smoke whilst enjoying the bubbles.

Party at yours? – Do try and remember we have other guests staying on the Park close to your accommodation. While we are sure they would love to join you, the tub just isn’t big enough, so please keep noise to a minimum after 10pm and vacate the hot tub by 11pm.

Bubbly? – please do not consume alcohol when using the hot tub and consider whether it is safe to use the hot tub if you have been drinking alcohol, as this is for your own safety. Please use plastic glasses provided for drinking around the hot tub area/outdoors.

Wrinkly prune – we recommend you submerge yourself for no longer than between 15 to 20 minutes per session. (Over exposure can result in nausea, dizziness, fainting or skin irritation).
Put a lid on it – do remember to put the cover over the hot tub once you have enjoyed your dip. The temperature will always drop a few degrees as soon as the lid is off, so please allow it time to heat back up between dips.

Tight squeeze – please note that the hot tub is only for use by registered guests who are occupying the hot tub accommodation.

Longer holiday – If you are staying with us for longer than 7 nights, we will need to carry out a routine maintenance drain down. The hot tub will not be in use during this essential maintenance, but our team will have the tub filled as soon as possible for you. We will arrange with you a suitable day/time for this maintenance to take place in advance.
In the unlikely situation that the above guidelines have not been followed and the hot tub requires deep cleaning, our team may need to carry out emergency maintenance to drain down and clean the hot tub to ensure the hot tub is safe for you to use. On this occasion, the hot tub may not be ready for use on the same day, depending on the cleaning required (charges may apply).

We recommend that you take out insurance cover for your holiday (both self-catering and touring) as once you have paid your deposit you have entered a contract and are liable for the full holiday cost, even in the event of cancellation. If you wish to cancel your holiday please contact our Reservations Team, then confirm your cancellation in writing either by post or email. We will then confirm your cancellation by return either by post or email. If you are cancelling your holiday up to 28 days (self-catering)/7 days or 72hrs (touring and camping) we will offer you the options listed under Alterations. If you are out with these timescales no offer will be made, your booking will be cancelled, and all monies retained.

Cancellation Policy

Cancellation By Us
Very occasionally, in circumstances of ‘force Majeure, we may have to cancel your booking. If we do so we will tell you as soon as possible and offer you an alternative. We regret we cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change. We will not accept responsibility or pay any compensation where the performance or prompt performance of our contract with you is prevented or affected by reason of circumstances that amount to “force majeure”.

Force Majeure – Circumstances amounting to “force majeure” include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage, break-in, criminal damage or any similar event beyond our control. Such circumstances also include riots or civil strife, industrial action, natural or nuclear disaster, fire, war or threat of war, actual or threatened terrorist activity and all similar situations beyond ours or the owner’s control.

Comments or concerns:

If you have any concerns or are dissatisfied with any aspect of your break whilst on the park, please call us (hours 08.30-17.00) We will endeavour to help you immediately so that you can enjoy the rest of your stay. If you do not give us the opportunity to resolve any problem by reporting it during your stay, we may not be able to deal with it positively on your return home. Claims may be rejected if we have not been given the opportunity to put matters right or investigate your concerns. Please submit any written comments within 10 days of returning from your break so that we may properly review and reply to your feedback. Please write your Booking Number on any correspondence.

Please note that we are not responsible for any matter of which you were aware and which you did not bring to our attention during your break.
